Epsom College is seeking an Examinations officer to join the team.
Roles and Responsibilities:
- Preparation for the summer examination season for Year 11 and Sixth Form pupils, including:
- Oversee the preparation of the draft examination timetable in October once dates have been released by the boards. Once confirmed, this should be distributed to staff, parents and candidates;
- Be fully conversant with the requirements of JCQ, CAIE and the College Board and provide training to staff as required who undertake courses from each of these organisations;
- Driving the process of candidate exam entry, liaising with Heads of Department and Housemasters/Housemistresses. This includes non JCQ examinations such as the AP and DELF, DAF, DELE and HSK examinations. The overseeing of uploading of this data to our MIS (iSAMS) and entries with boards via A2C;
- Produce clash lists and ensure students have appropriate supervision when affected by clashes, including assigning suitable rooms, liaising with candidates and parents and provision of food by liaising with catering;
- To the lead in the development and review of examination relating policies to ensure the College is fully compliant and appropriate structures are in place;
- Ensuring venues are booked and suitable rooming is available for all candidates, along with desk, computer, chair and clock requests; liaising with the IT and Works departments as needed;
- Recruit, train and manage a team of invigilators
During examinations:
- Take full responsibility for the successful delivery and completion of the examination season including;
- Ensure the safe receiving and storage of confidential examination materials and ensure these are logged and stored in accordance with JCQ requirements;
- Organise and oversee the day-to-day running of the examination venues, and take overall responsibility for the packaging and sending of secure materials to the boards;
- Lead the team of invigilators in the examination locations, with assistance from the Deputy Examinations Officer;
- Ensure accurate and detailed records of illness and/or absence during the examination period and oversee the submission of requests for special consideration to boards as required. This includes having appropriate structures in place to gather confidential information regarding pupil illness and welfare concerns that need to be relayed to examination boards through liaising with HMMs and the pastoral and medical teams
- Ensure the requirements for each of the examinations is met regarding the provision of appropriate access arrangements for pupils, through liaising with the Head of Academic Support, along with materials needed for each examination as laid out by the boards;
- Take the lead in ensuring staff are aware of their responsibilities regarding examinations. Working proactively to avoid malpractice among pupils and staff, along with ensuring this is dealt with swiftly if identified with the relevant parties involved.
Post Examinations:
- Liaising with examination boards regarding queries surrounding results;
- Drive the collation and distribution of exam results and any other related documentation;
- Support the Deputy Examinations Officer in dealing with post-results requests, including: receiving request forms and payment; submitting requests electronically to exam boards; receiving outcomes of the reviews and scripts requested; informing pupils and relevant staff by email; creating and updating annual post-results services spreadsheet; creating schedule of payments received (reconciling cash/cheques), amounts to be added to school fees bills etc. This includes taking responsibility for creating effective systems to streamline this process;
- Supporting the HMMs with the provision of letters to universities of candidate results in advance of the formal issuing of certificates (result transcripts);
- Managing queries from candidates and parents regarding examinations that were undertaken, including the requests for submissions of appeals.
Other duties:
- Line manage the Deputy Examinations Officer and invigilation team;
- Ensuring teaching staff and SLT are fully aware of their duties and responsibilities regarding the delivery of NEAs and regarding JCQ’s ICE document;
- In collaboration with the Director of Academic Operations, take responsibility for the delivery of the I/GCSE and A level Trial examinations, including: timetabling; liaison with relevant staff regarding booking of examination venues needed; liaising with Academic Support, contracting invigilators (and liaising with HR); updating teaching staff and HoDs regarding requirements and processes in place;
- Organising and overseeing the day-to-day running of the I/GCSE mocks, Year 13 Trials, University Admissions Tests, Speaking Tests, November Exam Seasons and any other College based large scale examinations;
- Assisting the Deputy Head: Academic with the collation and distribution of exam results and any other related documentation;
- Help to organise and run any other exams e.g.: pre-tests, internal exams;
- Carrying out all duties in accordance with safeguarding protocols and procedures.
- Any other reasonable exams based and or administrative duties as requested by the Deputy Head: Academic, Assistant Head: Teaching Staff and Professional Development and members of the SLT.

Desirable
- Previous Exam Officer/admin experience in a school environment
- Experience with invigilation of public examinations.
- Experience of using iSAMS/other school MIS
